In 2020, I initiated a partnership to instigate a three-year plan for the implementation of a UX design process in a SaaS network for intelligent city administration
A software engineering firm operates the SaaS ecosystem in question, offering a suite of solutions (platforms and apps) for intelligent handling of city data and services.
Typically, research sparks off the UX design journey, yet when our cooperation kicked off, several tools were already crafted and required user experience enhancements.

Research and analysis
Delving into the scenario: understanding the condition of the applications built, the purpose of the environment and the attributes of the users
In a focused collaboration with the Product Operations and development teams, we reviewed the tools that had been created to chart an ecosystem map. Concurrently, we developed cross-functional user flows to comprehend and craft the interrelationships among varying applications.
Simultaneously, we initiated user research utilizing agent mapping, followed by conducting workshops and interviews with external stakeholders. The goal of this operation was to pinpoint user personas, accumulate insights about their setting, goals and requirements, and comprehend their operational as well as their interactions with each other.


Prototyping
The genesis of the ecosystem interface overhaul was the desktop platform
Following the preliminary analysis, our focus shifted to establishing the groundwork of the SaaS platform aiming at enabling efficient procedures and housing a scalable magnitude of information with assorted visualization options.
Our first step entailed crafting an adaptable framework capable of housing diverse elements (charts, maps, graphics, filters, and other dashboard components), all within a primarily desktop, yet mobile-interactive interface.


Design System
Taking the first steps of a Design System that would advance throughout the course of the project
During the initial prototyping phase, we set out the groundwork for the Design System by identifying its fundamental components. We opted for a sans typeface (Archivo), which boasts clear readability across varying sizes in both text and numeral forms. We established a neutral color palette for the basic structure, introducing accent colors in maps and graphics to underscore significant data.
Despite the common approach of beginning with wireframes, we chose to iterate directly on the User Interface following the assembly of primary components. Yet, we allocated a sandbox for cultivating innovative solutions for the long haul. It was essential for us to create a space where we could freely experiment with concepts :)


Design Operations
Initiated in 2020, the User Experience squad should be ready for a steady progression
Initially, our design team consisted of a single person, soon complemented by a junior UX. Operating in an agile setup, we maintained constant liaison with the remaining development crew.
Our focus was on streamlining processes and workflows with developers via our design applications (like Figma), management platforms (like Confluence, Jira) and communication mediums (such as Slack). Despite our organisation into bi-weekly sprints, the design side made it a point to dedicate time to explore potentially future-beneficial ideas.


Learnings
Aiding in the development of a scalable UX design was both an enriching and testing experience for me.
Witnessing the daily growth of the project in cooperation with a dedicated and synergistic group that transformed challenges into prospects brought me immense gratification.
What path would be pursued in the future?
Value
Establish and underscore the significance of design in the company, beginning with identifying the mission, vision, and principles of the design division
Maturity
Keep nurturing the team's growth. This might involve bringing in a Design System Leader to handle the system's management.
Processes
Enhance both production and communication procedures, not just within the design squad but also with other teams (notably developers). Setting up KPI metrics would be a pivotal resource.
Users
Organise the collection of user feedback, not only through user testing but also via communication channels and data gathering conduits.
